Separate a bill from a payment request
We capture invoices, verify supplier identity against existing records and check for duplicates. Statements help reconcile the account but do not automatically replace individual bills. Changes to bank details should receive a separate confirmation through a trusted contact route.
The approval record identifies what was received, who authorized it and whether anything remains disputed. Stock, equipment and event prepayments may need different treatment; an urgent due date is not a reason to skip that review.
Show the timing of committed cash
An aged payable report can be paired with upcoming payroll, scheduled customer receipts and purchase commitments. This gives the owner a view of the next payment cycle rather than just a historic expense total. Payment preparation can support that decision while final release remains with your authorized signer.
Illustrative example: a catering delivery shortfall
A Victoria caterer receives an invoice for 160 place settings but documents a delivery of 140. The disputed portion remains visible while the supplier issues a credit. Matching the final bill, delivery record and event code avoids paying the full amount and losing the adjustment after the event.
Close the loop after payment
We apply payments to the correct bills and retain remittance details where useful. Partial payments, deposits and supplier credits need their own audit trail. At month end, a statement comparison helps reveal missing invoices that would otherwise arrive as an unpleasant surprise in the next cash forecast.
