We gather full bank and card statements, sales-system reports, customer invoices and supplier bills. Booking platforms and gift-card records join that package where relevant. The deposit on the statement is the end of a chain; we also need the sales, fees, refunds and timing differences that explain it.
Each account receives a reconciliation, and uncertain items go onto a short owner review list. We keep loans, owner funding and transfers distinct from trading income so the resulting reports answer operating questions.
Keep seasonal comparisons useful
A busy July and a quieter January should use the same categories and cut-off method. Your agreed package can show monthly results, outstanding customer and supplier balances and deposits linked to future work. We can also highlight recurring expenses that continue when revenue slows.

A Victoria walking-tour business receives a platform payout covering completed August tours and reservations for September. We trace the booking dates, fees and cancellations before assigning the activity. The owner can see August performance without losing sight of the September tours still to deliver.
Decide who clears the final questions
A regular review date helps stop unresolved receipts accumulating across the visitor season. We agree a responsible person for booking changes, staff expenses and supplier disputes, plus the reports your tax preparer needs. Payment release and tax filing are included only when specifically agreed.
